Due to adverse weather conditions over the weekend of the 4th/5th February, it was not possible for the majority of society representatives and FoBBS Committee members who were planning to come to the AGM to attend.

As a consequence, it was decided to recirculate the Accounts and Reports together with the list of nominees for both the FoBBS Committee and FNBC Committee to all the member societies, asking them to vote by e-mail as it would prove difficult to re-schedule another AGM in the short to medium term. Reg Bolton, as Company Secretary, informed Companies House as to the situation, and they gave their consent for this process to take effect.

The member societies were asked to send their votes to the FoBBS Chairman by Sunday, 19th February.  By this date, the following 22 societies had responded, all in favour of accepting the Accounts and Reports together with voting on the committees for 2012:

Berkshire B.S.; The Bonsai Group; British Shohin Association; Cardiff B.S.; Cheshire B.S.; Derby & District B.S.; Friends of Bonsai (N.Ireland); Glynderi B.C.; Harlow Carr B. G.; Middlesex B.S.; Midland B.S.; Milton Keynes B.S.; Newbury & District B.S.; New Dawn Bonsai; N.W. Kent B.S.; Salisbury B.S.; Shropshire B.S.; S. Staffs B.S.; S. Worcs B.S.; Surrey Heath B.S.; Tees Valley B.S.; Wigston B.S.

A further 5 societies had submitted proxy votes prior to the cancelled meeting:

Bedfordshire B.S.; Chiltern B.S.; Dai-Ichi B.S.; Kent B.C.; Sutton B.S.

With 27 votes, all in favour, both the Federation and Friends of the National Bonsai

Collection now have a mandate to continue through 2012.
